Cost Savings When E-mailing Invoices

As an example, your company prints and mails out 200 A/R customer statements.  If 50 % of the customers would like to have their statements emailed to them, there will be a savings of: 100 statements @ .49 cents per stamp = $49.00 in postage each month., then 12 months x $49.00 = $588.00 savings in postage each year.  Printing statements on plain paper will save on paper, ink, plus wear and tear on the printer.  If the statements are printed on pre-printed forms, there is no need to use the preprinted forms any longer.  Another savings is using fewer window envelopes for the statements.  There is also the labor portion as less time will be needed to fold and place the statements into the envelopes, therefore your personnel could spend time on more productive things, like collection calls. 

 

Basically 50% is a low percentage of customers who would prefer to have statements emailed to them.  In our own company, we recently switched to e-mailing statements and 95% of our customers prefer this method.  If a copy of the statements are needed for reference, they can be saved to disk.

 

 

COST SAVINGS WHEN E-MAILING E-FORM INVOICES

 

The same is true for e-mailing e-form invoices to customers.  When a job is shipped, there is normally a copy of the invoice or shipper sent with the job.  An invoice is then most likely mailed to your customer’s Accounts Payable department. Customers can be assigned to automatically have e-mailed invoice copies sent.  Once again, there are savings on postage, paper, ink, wear and tear of the printer plus the time spent by your employees.   

 

 

  • In addition, if you have e-form invoices and statements, certain customers can be designated to be e-mailed a statement and then automatically e-mail copies of the invoices that appear on the statement.  This will cut down on the calls for invoice copies from customers.

 

  • You can also save the e-Form statements & invoices electronically for archival purposes to conserve valuable warehouse & storage space too ... along with eliminating disposal fees when it comes time to purge older ones.
