Backup Overview

The nightly backup consists of two distinct parts.

 

 

Part 1:  Making a backup copy of the entire system on tape

  

This copy should include all information on the computer:  the operating system, Profits Plus Run code, 3rd party software, application data files, etc.

 

It is CRITICAL THAT YOU VERIFY THE BACKUP TAPE EVERY DAY. To do this, go to:

  • Software Maintenance (Module 10)
    • Results of Last Tape Verify (Task 4). 

 

 

Perform this task each morning and follow the on‑screen instructions.  If you are not clear about what you see then please follow up on it immediately.  Proper backup tapes are the most important aspect of protecting your company from loss of computer data.

 

DO NOT put off resolving a problem in this area or assume it is okay ... be sure !!!

 

 

Here is what to check when running the “verify backup” program:

A file is generated automatically by the back-up each night.  Check the date & time to confirm when the file was made. It should have last night’s or this morning’s date, depending on the scheduled start time of the automatic backup on the system.

Below is a sample:

By pressing the ENTER key, the contents of the latest verify will be displayed. There should be only 3 things listed:

the file /zzback.mv,

the total # of blocks contained on the backup volume,

the date/time the backup was started

If there is anything else or if the date/time are not the same as the date/time previously displayed, then please contact your system administrator immediately.  Below is an example of the message if the backup was successful:

Part 2: Housekeeping & automated processing

This includes sorting of data files, transferring of invoiced orders & deposits, printing reports, building of special index files, removing temporary work files, etc...

 

 

Miscellaneous notation:

 

These two parts act mostly independent of one another. Do not assume anything about one part because of the other. For example, if someone leaves a terminal in the 'Order Entry' module (i.e. a user forgets to go back to the main module listing at the end of the day) the sorting of most files cannot take place, but this DOES NOT prevent the backup tape from being made, so it is still important that the tape backup be verified.
