Sales Tax - Zone Tax Reporting and Auditing

For information on how to set up Tax Zones, please see the document titled:  Task 23 – Tax Zones.

 

If using Tax Zones for tax calculation and reporting, use one of the two following reports, found in the A/R module:

Tax Zone Summary by Division # / Zone / Date Range (TZNRPT)

Tax Zone Summary by Zone / Division # / Date Range (TZNTZN)

 

Note: if you use both State Tax and Tax Zones, you will also need to run the State Tax Reports (SHSTAX or TAXSUM) for all of the tax information needed to fill out the tax forms.  An easier method may be to have the state tax also set up as a tax zone, therefore only the tax zone report is needed versus both state and tax zone reports.  i.e. the State of Michigan, which only has a state tax and no addition tax zones, such as county or city, could be set up as a tax zone @ 6%.  State of Georgia which has a state tax, county tax and various additional taxes, could have a State of Georgia tax zone @ 4%, a county of Fulton @ 3% and a city of Atlanta @ 1% (for a total of 8% sales tax).  Also have a tax zone for State of MI andGeorgia exempt customers @ 0%.

 

Tax Zone Summary by Division # / Zone / Date Range (TZNRPT) has the option of printing a `No Zone' transaction list. That is a list of all invoices that have no tax zone associated with them.  This is only useful if you use tax zones on all of your customers, as explained above…including a tax zone with zero percent for customers who are tax-exempt ... and do not use the standard State Sales tax.

 

Miscellaneous notations:

  • The Zone Tax Report only reports on sales that involve tax zones. i.e. it excludes all orders where a tax zone is not used, unless you use TZNRPT
  • Invoices with overlapping multiple zones will be listed in the “multizone over” line on the reports.
  • If freight and handling dollars are taxable they will be listed both individually and added into the `Total sale' figures on the Tax Zone Summary reports.  (Please note: taxability of freight and handling are flagged individually on each Tax Zone so its inclusion, as described, can vary based on individual situations)
