Check Print - Multiple Users

You can have multiple users print checks in Profits Plus.  You can configure the printer assignment table so everyone uses the same printers for all printing; or where everyone uses the same printers except for “immediate checks”; or where by terminal designation each user can use totally different printers.

Go to:

  • Accounts Payable (Module 3)
    • System Management Functions (Task 23)
      • Modify Application Tables (Sub-task 17)
        • Printer Assignments (Selection 2)

#1 - Positions 01 to 06  =  Separate remittance and/or checks

#2 - Positions 08 to 13  =  "Alternate" check printer

#3 - Positions 15 to 20  =  Immediate check printer (if 3rd position is left blank, then the other printer ‘names’ will be used)

Example 1:  If all users are going to be using the same printers all of the time, then set the printer ‘names’ in the first line on the screen, an example would be:

PLASER,JLASER,JLASER

Example 2:  Most users will be using the same printers all of the time, but there is an exception.  For example, someone at another location prints “immediate checks”, then you could set that person’s terminal up as an exception.   The first line on the screen would still contain the printer ‘names’ for everyone else who prints checks, whereas the exception would be listed like below, as an example.

              #1     #2     #3

"TERM24" , "PRINT2,PRINT2,PRINT2 "

The user on Terminal 24 would print all checks (regular and immediate checks) to printer PRINT2.

Example 3:  Each user prints to a different printer, an example would be:

              #1     #2     #3

"TERM15" , "JLASER,JLASER,JLASER"

"TERM24" , "PRINT2,PRINT2,ASKME "

The user on Terminal 15 would print all checks (regular and immediate checks) to printer JLASER.

The user on Terminal 24 would print regular check and remittances on printer PRINT2; whereas for “immediate checks” the user would get the printer selection screen and the user can select a printer because the printer in position #3 is ASKME.

Example 4:   Everyone uses the same printer for regular checks and remittances; however users on terminals 15, 24 and 40 print on different printers for “immediate checks”, an example would be:

PLASER,PLASER,JLASER (note: this is line 1 on the screen, whereas the other information is lower on the screen)

              #1     #2     #3

"TERM15" , "              PRINT2"

"TERM24" , "              ASKME "

“TERM40” , "              PRINT4"

The system knows that for everyone, including users on terminals 15, 24 & 40 will print checks and remittances on printers PLASER; whereas all users except those on terminals 15, 24 & 40 will print “immediate checks” to printer JLASER.  For the terminals 15,24 & 40, they will print their “immediate checks” to printer PRINT2, ASKME and PRINT4 respectively.

****NOTE****:  Only position #3, “Immediate check” printer can be an "ASKME " printer
