1099 Vendor Information and Printing

SetupSome clients have vendors who receive 1099 forms at year-end, and by 2012 all employer-paid health benefits to employees and all suppliers must be provided a 1099.  The 1099 forms can be printed through Profits Plus provided that the vendor is set up as a 1099 vendor. Also you determine where on the 1099 form should the dollar amount print.   There is a table that must be setup to determine the various 1099 Type Codes.  The table can be found in:

  • Accounts Payable (Module 3)
    • System Management Functions (Task 32)
      • Modify Application Tables (Sub-task 17)
        • 1099 Type Codes (Selection 4)

 

The ‘code’ is Alphanumeric, with a length of 1 character.  There are a maximum for 25 entries on the table.  The Descriptions of the codes are also Alphanumeric with a maximum length of 30 characters.  The box number where the dollar amount will be printed on the 1099 form is Numeric, with a length of 2 numbers.  Below is an example:

Once the table has been set up, the ‘code’ must be entered on all vendors who will receive a 1099.  Go to:

  • Accounts Payable (Module 3)
    • Vendor Master File (Task 17)
      • Send 1099?  (Field 39)             Enter the ‘1099 Type Code’ from the table
      • 1099 Tax # (Field 40)              Enter in the vendor’s tax ID number.

 

*****NOTE******:  Be sure the Build Monthly Vendor History program has been run prior to obtaining 1099 information, as the information comes from the Vendor History files..  The normal End-of-Month procedures include the instructions to perform this task.  The program is found in:

      • Build Monthly Vendor History (Sub-task 4)

 

 

Print:  To print vendor 1099 forms, based on information in the Vendor History (Task 18 in the AP module), go to the Task 13; however before printing the 1099’s verify that the Vendor History (Task 18 in the A/P module) is ‘sorted’.  If there are any unsorted vendor history records, please use sub-task 6 “Sort existing vendor hst records” first.

  • Accounts Payable (Module 3)
    • Vendor Reports/Forms (Task 13)
      • Print 1099-Misc Forms (Sub-task 5)      

 

You will be allowed to override the company name and address to be printed on the 1099 form.

Selectable ranges are vendor number, date paid, and the current government amount indicated as the threshold that requires reporting.
