Customer Pre-defined Fields

Listed below are the fields in the Customer Master Files (AR Module, Task #17) that use pre-defined "codes". Some of the "codes" are already pre-loaded on the system.  You may use the pre-loaded codes exactly as they are or change them or add some new codes to fit your business practices.

What you will find helpful in setting up your customers is the Customer Master File Set-up worksheet that is in your PDM – the deployment guide. This worksheet gives you the number of spaces you have per field, plus a brief description. It is also noted where you will used a pre-defined code.

Regarding the codes that are part of the Application Tables (Task #32, Sub-task #17 in each of the modules), please read the screen very carefully if you change or add codes. For example: Credit Limit Codes. Some are already pre-loaded on the system, but changes can be made. However, you MUST follow the pattern exactly when making changes or additions. The screen prompts this information, so please read carefully before you make any changes. If you do make changes/additions remember to follow the instructions that state after you "ESC" to exit the screen you MUST type "F" to save your changes. IF you don’t want to save the changes, then type a "Q".

Field #6 – State A two letter abbreviation of the state. It must match the abbreviation in the Sales Tax Rate table if the customer is taxable (Module 6, Task 32, Sub-task 17, Option 5)

Field #11 – Salesperson Module 6, Task 20 Salesperson/Technician File

Field #12 – Cust Type Module 2, Task 32, Sub-task 17, Option 3 Customer Type Definition – please note the "$" for Bill-to.

Field #13 – Price Type This is the pricing levels your customers will get. The Nine slots correspond with your nine product codes. This is discussed with the trainer.

Field #20 – Tax Flag Module 2, Task 32, Sub-task 17, Option 5 Tax Codes

Field #24 – Credit Limits Module 2, Task 32, Sub-task 17, Option 2 Credit Limit Codes

Fields #25, 26, 27 – Tax Zones A, B & C   Module 2, Task 23 Tax Zones. These are used for additional tax zones. For example: Ohio has a state tax – this reads from the State abbreviation in the Sales Tax Rate table, but the county of Xenia also has a tax. This additional tax would be a tax zone.

Field #38 – Ship Via Module 6, Task 32, Sub-task 17, Option 4 Shipment Method

Field #39 – Bill Terms Module 6, Task 32, Sub-task 17, Option 6 Payment Terms

NOTE:  Fields 19, 20, & 21 in Alternate Ship-to file. – Tax Zones A, B, & C   Be sure to look at and set-up, if appropriate, Tax Zones in the Alternate Ship-To. This is found in Module 6, Task 19. Set up if a customer has multiple shipping addresses, but only one customer number.
